Privacy policy

This policy explains how PaidKindly collects, uses, shares and protects personal information, and the rights you have under the Protection of Personal Information Act, 2013 (POPIA).

1. Who we are

PaidKindly is a trading name of Spyder Solutions (Pty) Ltd (registration number 2023/672996/07), 237 Cradock Avenue, Lyttelton Manor, Centurion, 0157, South Africa ("we", "us").

Information Officer: Adrian Ellis, director. Contact: hello@paidkindly.com.

2. Two roles: your data, and your clients' data

  • Our own users and waitlist members. For the details you give us about yourself and your business, we are the responsible party under POPIA.
  • Your clients. When you use PaidKindly to send reminders, you decide whose details go in and why. For your clients' details, you are the responsible party and we act as your operator: we process them only to send your reminders, on your instructions.

3. What we collect

If you join the waitlist

  • Your email address, and optionally your name.
  • Your answers to our short questions (type of work, whether you'd use WhatsApp reminders, how your clients pay, how many invoices you send).
  • Where you heard about us, if your link included that (for example a campaign tag or the referring website), and the date you gave consent.

We do not store your IP address with your signup, and the website uses no advertising or tracking cookies and no analytics scripts.

If you use PaidKindly (after launch)

  • Account details: your name, email address, business name, and the payment options you show your clients (such as pay links or bank details).
  • Your clients' details: name, cell number, email address, invoice numbers, amounts and due dates, and your confirmation that the client agreed to WhatsApp messages.
  • Message records: when reminders were sent, delivered, read or failed; replies; "I've paid" taps; and opt-outs (STOP).
  • Billing: your plan and payment status. Card payments are handled by Paystack; we never see or store full card numbers.

4. Why we use it

  • To run the waitlist and email you about the launch and early access (with your consent).
  • To provide the service: sending your reminders by WhatsApp and email, forwarding client replies, and showing your dashboard.
  • To bill subscriptions, prevent abuse and keep the service secure.
  • To meet legal obligations (for example tax records).

We don't sell personal information and don't use it for advertising.

5. Who we share it with

We use a small number of service providers ("operators") who process data for us under contract:

ProviderPurposeWhere data may be processed
Cloudflare, Inc.Website hosting, database, email forwardingGlobal network, including outside South Africa
Meta Platforms (WhatsApp Business Platform)Sending WhatsApp reminders (after launch)Outside South Africa
ResendSending reminder and account emails (after launch)Outside South Africa
PaystackSubscription payments (after launch)South Africa and elsewhere

Some of these providers process data outside South Africa. We only use providers bound by data-protection laws or contractual terms that give protection substantially similar to POPIA, as section 72 of POPIA requires.

We may also disclose information if the law requires it.

6. How long we keep it

  • Waitlist: until launch plus 12 months, or until you ask us to delete it, whichever is sooner.
  • Accounts and client data: while your account is active, then deleted within 90 days of closing it, except records we must keep by law (such as billing records, kept for 5 years).
  • Opt-outs: numbers that replied STOP are kept so we never message them again.

7. Security

Data is encrypted in transit (HTTPS) and stored with our hosting providers' security controls. Access is limited to people who need it to run the service. If we become aware of a breach affecting your information, we'll notify you and the Information Regulator as POPIA requires.

8. Your rights

You may ask us to confirm what personal information we hold about you, correct or delete it, object to its use, or withdraw consent (for example, leave the waitlist). Email hello@paidkindly.com. If your details were added by one of our users (you are their client), you can reply STOP to any WhatsApp reminder, and we'll pass other requests to the business that added you.

If you're unhappy with how we handle your information, you may complain to the Information Regulator (South Africa): inforegulator.org.za.

9. Children

PaidKindly is for businesses and isn't directed at children. We don't knowingly collect children's personal information.

10. Changes

We'll update this page when our practices change and show the date at the top. For significant changes we'll email account holders.
